Moorings Park is recruiting an on-call VIP Personal Assistant. The selected candidate is expected to offer personal support and manage homes under the instruction of the Clinical Supervisor.
The VIP Personal Assistant is tasked with executing secretarial and clerical duties such as handling files, bills, mail, and replying to correspondence. They also manage the client’s and family’s schedules and organize social engagements. This involves overseeing activities, planning celebrations, and arranging hobbies plus sports events.
The VIP Personal Assistant also facilitates travel plans, which includes researching and finalizing travel bookings, packing luggage, checking in for flights, and arranging transport to and from the airport. They also help guide clients through airport security checks when necessary.
Another key role includes coordinating relocations and moves. This involves reaching out to moving companies, downsizing, staging homes, liaising with movers, packing, cleaning, sorting household items, and shipping stuff to various locations if needed. They also unpack and offer limited design assistance.
In addition, the VIP Personal Assistant is expected to support with holiday planning like decorating, shopping, wrapping and shipping gifts, and organizing holiday events. They also offer technology assistance and pet care. The Assistant is expected to handle confidential client data professionally and ethically, complying with all HIPAA regulations and standards.
For this position, communication skills in English, high school diploma, a current Florida driver’s license, clean driving record, and insurance proof are required. They must also be available during emergencies or natural disasters and must use their own transportation to get to work and client’s homes off campus. Previous experience as a Concierge, Personal Assistant or House Manager is preferred.
