The Megan Aitken Team is hiring a Staging & Concierge Project Coordinator in Middletown, DE. This is a hands-on operational position centered on physical staging work rather than primarily desk-based duties. The coordinator will spend significant time inside homes and the staging warehouse loading, unloading, moving, and arranging furniture and décor. Administrative and project coordination responsibilities round out the role.
The coordinator serves as an operational partner to the Staging & Concierge Manager, collaborating with the Listing Manager, Director of Operations, agents, vendors, and staging interns to support all staging and concierge projects from initial consultation through property readiness.
Staging Support Responsibilities
- Attend home assessments and staging consultations
- Record measurements, take photographs, and document detailed notes
- Upload documentation including photos, measurements, and room-by-room checklists
- Help prepare staging recommendations and reports
- Assemble inventory lists for upcoming stagings
- Actively participate in all staging and destaging activities: packing, loading, unloading, carrying, placing, rearranging, and removing furniture, décor, artwork, rugs, lamps, accessories, and staging inventory
- Execute occupied home refreshes and touch-ups as needed
Inventory Management Responsibilities
- Support maintenance of the staging inventory system
- Scan inventory into and out of properties using company software
- Verify inventory is returned and accounted for following destaging
- Complete warehouse tasks including moving inventory, shelving and organizing décor, receiving deliveries, labeling and photographing items, unpacking returned materials, and maintaining warehouse cleanliness and organization
- Maintain staging supplies, lockboxes, signage, and accessories
Documentation and Reporting Responsibilities
- Create and proofread staging reports
- Upload and organize property photographs
- Maintain project files and spreadsheets
- Update internal documentation and playbooks
- Ensure accurate and timely completion of all reports
Project Coordination Responsibilities
- Support staging and concierge projects from consultation through completion
- Maintain project timelines and task completion schedules
- Organize contractor schedules, deliveries, vendors, and project logistics
- Provide on-site support during projects
- Verify concierge work quality through progress checks and final walkthroughs
- Participate in listing, staging, and team meetings as needed
Team and Operations Support Responsibilities
- Help train and support staging interns
- Answer questions and provide guidance during staging days
- Coordinate staging crews and daily priorities
- Cover staging operations when the Staging & Concierge Manager is unavailable
- Complete business-related errands as needed
- Assist with purchasing staging inventory and supplies
- Help maintain staging vehicles and equipment
- Manage signage, toppers, and lockboxes for staged properties
- Contribute flexibly wherever needed to complete staging and concierge projects
Secondary Marketing Support Responsibilities
- Capture before-and-after photographs and videos
- Assist with creating content for Facebook, Instagram, YouTube, and TikTok
- Work with the Listing Manager on marketing materials
- Support development of staging portfolio and promotional materials
Day-to-day activities vary significantly. A typical week may involve staging or destaging multiple homes, moving and organizing staging inventory, attending home consultations and taking measurements and photos, preparing staging reports, checking progress on concierge properties, coordinating with vendors, acquiring supplies, scanning inventory, and completing project documentation.
Required Qualifications
- High school diploma (associate's or bachelor's degree preferred)
- Strong organizational abilities
- Excellent written and verbal communication skills
- Exceptional attention to detail
- Ability to juggle multiple projects simultaneously
- Comfort using Google Workspace and willingness to learn new technology
- Positive and professional demeanor
- Valid driver's license and reliable transportation
- Capacity to lift up to 50 pounds
- Ability to work occasional evenings and weekends
Preferred Qualifications
- Experience in real estate, home staging, marketing, or photography
- Familiarity with Canva
- Social media content creation background
- Photography or videography skills
- Prior project coordination experience
The position requires active physical work, with team members spending substantial portions of the day standing, walking, bending, reaching, lifting, carrying, packing/unpacking, climbing stairs, and moving staging inventory. Comfortable lifting and carrying items up to 50 pounds is essential, both during staging/destaging and warehouse operations. Work occurs in occupied and vacant homes, the staging warehouse, vehicles, and occasionally outdoors.
Expected hours are 30 to 40 per week, with pay starting at $20 per hour.
