Vesta Home is hiring a Design Operations Project Coordinator in Los Angeles, CA. The Design Operations Project Coordinator will serve as a critical link between the design team and warehouse operations, managing daily logistics and inventory to keep staging projects on track from preparation through final installation.
Key responsibilities include:
- Assigning junior designers weekly to support other designers who need on-site assistance, and helping the Creative Director assign designers to upcoming projects.
- Managing installation preparation by ensuring all designers receive required furniture on time, with pick lists completed by established deadlines, and providing direct support for urgent furniture requests.
- Contacting designers about any delays, questions, or ability to meet deadlines.
- Notifying warehouse operations immediately through project Slack channels if a designer misses a pick list deadline, along with an estimated completion time.
- Ensuring all furniture requirements are fulfilled by 1:00 PM or earlier for projects installing the next day, and by 2:00 PM for ongoing multi-day projects.
- Confirming that one-day installs are ready for pickup 48 hours before installation.
- Reporting all finalized TRIP IDs to the operations team via respective project Slack channels.
- Providing marketing materials to all projects.
- Assisting night shift projects with replacements and other designer needs, and checking projects for overallocations alongside picking confirmation.
- Reviewing items in COLI and unassigned inventory upon job completion to ensure COLI is fully cleared.
- Identifying and flagging instances of designer hoarding or excessive inventory reservation to the Creative Director.
- Assisting the warehouse with finding and assigning replacement pieces during evening shifts.
- Documenting and reporting to the Design Operations Manager when designers add items to lists after project deadlines.
- Using Retool, Domo, and other reports to monitor inventory levels, manage liquidation needs, and report findings to the Design Operations Manager.
- Overseeing project-level spending to keep inventory purchases aligned with allocated budgets.
- Staying informed on damaged items in the warehouse and prioritizing repairs based on current and upcoming inventory needs.
- Creating clear repair instruction sheets for the repair team by reviewing damage locations and downloading associated reports.
- Maintaining active communication on Slack and email to resolve on-site problems as they arise.
- Assisting operations and logistics teams with setting up runners as needed.
