Vesta Home is hiring a Logistics Coordinator in Hayward, CA. This full-time position supports the daily execution of delivery and logistics operations, serving as the central coordination point between dispatch, field teams, warehouse staff, and internal stakeholders. The Logistics Coordinator manages non-routing logistics activities, resolves operational issues in real time, and maintains the documentation and communication standards that keep projects on track.
- Triage delivery and retrieval problems such as missed service windows, damage claims, access restrictions, and crew constraints in real time, then determine appropriate next steps
- Work with Operations, Customer Experience, and Design teams to solve field issues quickly and prevent cascading impacts
- Escalate urgent matters to leadership with full documentation and recommended solutions
- Support field and delivery teams with job details, paperwork assistance, and same-day or next-day issue resolution
- Process, review, and ensure timely submission of Bills of Lading, delivery receipts, and required driver documentation
- Collect and coordinate DOT-related paperwork as needed
- Review routing details for accuracy and feasibility before execution
- Confirm that dispatch receives correct job information, load specs, access notes, and special handling instructions
- Act as a quality checkpoint between Operations, Warehouse, and Dispatch functions
- Communicate schedule changes, corrections, or exceptions to dispatch as they arise
- Help identify and source third-party logistics partners to meet operational needs
- Assist with onboarding approved 3PL partners by gathering required documents, confirming capacity, and clarifying expectations
- Handle day-to-day coordination and communication with 3PL partners
- Monitor 3PL performance for issues, service gaps, or cost problems and report findings to the Logistics Manager
- Gather information and documentation to support resolution of 3PL-related problems
- Ensure 3PL partners meet company standards for documentation, safety, and communication
- Help with recruiting and hiring for logistics and delivery positions alongside HR and Operations
- Coordinate interview scheduling and onboarding readiness for new field staff
- Plan staffing coverage to match labor availability with operational demand
- Maintain logistics workflows, checklists, and documentation procedures
- Flag recurring problems or process breakdowns and suggest improvements
- Partner with Operations and Continuous Improvement to implement process changes
- Serve as the main point of contact for communication across Logistics, Warehouse, Design, Sales, Customer Experience, and external partners
- Ensure internal stakeholders understand delivery risks, constraints, and current execution status
- Provide leadership with operational summaries, reports, and insights
- Support compliance with DOT and regulatory standards through documentation and coordination
- Report potential compliance risks related to drivers, paperwork, or field execution
- Assist with safety incident documentation and follow-up
Candidates should bring at least 2 years of experience in logistics and dispatch administration. Proficiency with Microsoft Excel, Google Workspace, and logistics software systems is required. Strong organizational and communication abilities are essential, as is careful attention to detail and follow-through on processes. Spanish language skills are preferred. The position requires onsite availability at one of Vesta Home's operational facilities in California.
